A marketing committee charter might include responsibilities such as the development of an annual communications plan, an editorial calendar, campaign messaging and a public relations strategy. Depending on the size and nature of the nonprofit, this committee may also oversee website development and a direct mail strategy. Committee charters help volunteers understand where they fit in the picture.

If this committee is going to oversee the development of your website, then you need someone with experience in web development or content creation. I work with nonprofits that post a board or opportunity committee on Facebook and wait for candidates to come to them. I use the candidate tracker in the doc to update the team on my progress, as well as sharing it with fellow committee members. I have caught myself cringing when I overhear a conversation in which a volunteer is coerced or misled.

Associations are filled with people who care about their professional communities and are invested in making connections, but they might not have time to do it on their own. Notification of service opportunities can be posted in online communities and message boards. Host an open meeting if you can identify the committees that need members.

The best time to have this meeting is a few months before committee selections. It’s difficult to know who would be a good fit for your committee unless you have determined what specific function that person would have.

The purpose and skills of the committee should be identified before you begin the recruitment process. If you approach a member or even the membership at large with the question, “Do you want to serve on X committee”, they might not have a lot of information on which to base their decision. If they don’t know someone who is already serving, they won’t know crucial factors like time commitment and responsibilities. This information must be presented by the person or group issuing the invitation.

The list shows that committee work opens up opportunities for the candidate to network, expand his or her professional brand, and boost his or her résumé through leadership and service.

If you have a lot of information, you should put it in a separate appendix to the letter. The committee members may appreciate a summary of a complex matter if you have written about it.

If one of them is your uncle, you don’t address them personally, but as part of the committee. If you want to avoid being impersonal, you must address each member by name. “Dear Committee” is what I prefer. “Dear Sirs/Mesdames” strikes me as odd.

The legal duty of ensuring orderly and correctly conducted meetings is one of the responsibilities of the president or chairperson.

The official correspondence should be tabled at the management committee meeting. The chair sets the agenda for the committee.

The chairperson is responsible for making sure that the meetings are conducted according to the constitution and that matters are dealt with in an orderly, efficient manner. The chairperson needs to build and lead the team, speak clearly and succinctly, be sensitive to the feelings of members, be impartial and objective, start and finish on time, be personable, have an understanding of the voluntary and community sector, and be tactful. If you must accomplish certain things during your committee meeting, add them to the agenda.

You should write a 1-2 page summary of the aims of your project, the work you have completed, and the experiments you plan to do over the next year. We come to you this hour asking for your help as we are gathered together. We ask that you show us how to conduct our work with a spirit of joy and enthusiasm and that you give us guidance in the matters at hand. To create a welcoming environment, introduce everyone individually.

How do you thank a committee member?

You can thank them for the specific roles that they played and how they helped you get to the end. It’s not going to endear you to them if you say, “Thank you for being on my committee, without you, I would have had to have someone else on my committee.”
