The need to write a formal letter rarely arises in today’s society.

Sometimes a formal letter is required to obtain information, to apply for an academic program or a job, to write a complaint letter, or to express your opinion in an effective and coherent manner. The purpose of your letter should be stated in the first paragraph. This excerpt from Strunk and White’s The Elements of Style (4th edition) provides the perfect rule of thumb, which is not that the writer make all sentences short, or avoid all detail and treat subjects only in outline, but that every word tells.

Slang, jargon, and contractions such as I’m, can’t, it’s, should be avoided. Make sure the sentences are complete by checking the language.

It is a good idea to have someone else look over your formal letter after you have done so, as it is easy to overlook errors in something you have read many times. Don’t rush the letter’s completion if it’s important to you. There are several examples of formal letters in the ebook.

Telephone numbers and email addresses are acceptable, but not usually included here. The heading goes in the top left-hand corner of the page.

If you don’t know the person’s name, try to include his or her title in the formal letter. If you know the intended recipient of the letter, you can choose a different salutation. The body of the formal letter should begin with one line after the salutation. The closing should be typed after the last paragraph of the letter.

Your actual handwritten signature is to be written between the two lines. Your typed signature marks the end of your letter, and while you can write a postscript containing additional information, it is better to include all pertinent details in the body of the letter so nothing is accidentally overlooked. Now that you have written a formal letter, make sure you read it in its entirety.

A space or line between the date and your contact information can be included in a block style letter. If you use the AMS style, place the space below your address. If your recipient needs to reply to your letter in a timely manner, the date is very important.

Refer to their company website if you don’t have their contact information. The subject line is important if you’re writing a formal letter using the AMS style. After the recipient’s contact information, this should be written in all caps, with two hard returns on your keyboard. “I look forward to hearing from you” or “please contact me at your earliest convenience” can be included in a call to action.

You should include a closing like “Yours Sincerely,” “Yours respectfully,” or “Best” if you’re using a block style format. If you’re using an AMS letter format, don’t include a salutation, just include your name, signature and job title. If you have other documents to include with your letter, add the word “enclosure” below this followed by a colon and the name of the materials.
